Join us for a fun-filled, family-friendly day of celebration

At the Trans and Thriving festival, we will have a bunch of vendors for you to check out. Health and Wellness vendors, art vendors, and everything in between. In addition to the vendors, we will also have food and beverage trucks for you to enjoy.

We will have speakers from community organizations and performances throughout the day.

We will also have a memorial board for you to bring pictures and notes to remember loved ones we have lost.

Thank you for your interest in participating in Equality Toledo. Please see the attached information regarding community organization and vendor booth registration and set-up.

Space/Booth Details

No structure may exceed 15’ in height. You may provide any tent or booth structure as long as it falls within the City of Toledo safety guidelines and fits within the space you have rented. Your tent must be weighted and secured 40 pounds per leg. EQUALITY TOLEDO does not supply tables and chairs UNLESS PREVIOUS ARRANGMENTS ARE MADE. Equality Toledo has final determination over the placement of all booths within designated location. Please note this event is a gated event meaning that you must carry in and carry out any of your supplies; no cars are allowed in the event. Please bring handcarts, if needed. We recognize that not all are able to do this and if so, this event may not be for you. NO FOOD OR DRINK CAN BE SOLD OR DISTRIBUTED FROM BOOTHS DUE TO HEALTH DEPARTMENT REGULATIONS. (pre-packaged candy is acceptable)

Power

Electricity is NOT available for community or vendor booths. You may bring your own battery power equipment. Gas-powered generators are not permitted due to noise and fume emissions.

Noise

We love music however, as a courtesy to other exhibitors, Equality Toledo reserves the right to limit amplified sound from your booth.

Special Requests

All special requests must be included in this application, please add additional paper if necessary. Late requests have no guarantee of accommodation.

Cancellations

You may cancel your booth application at any time prior to the stated application deadline of Thursday, August 1, 2022 and receive a full refund. Cancellations made after the stated deadline will not be refunded.

If space is left with garbage, debris, tent weights, etc. your business will be liable for a $50 fee. SPONSORSHIP AGREEMENT – DEADLINE: September 22, 2023 Event: Saturday, September 30th, 2023 - Uptown Green

Thank you for your interest in becoming a sponsor for the first ever Trans and Thriving Fest, put on by Equality Toledo Trans Toledo. Please see the attached documentation for more information. If you have any questions, please contact our Deputy Director or Sponsorship Coordinator. We appreciate your generosity and support.

TERMS & PAYMENT

This agreement will not be considered confirmed until this contract is signed and full payment is received. The term of this sponsorship agreement begins on the date the agreement is confirmed and ends on October 1st, 2023.

RESCHEDULING/CANCELLATIONS

Equality Toledo’s Trans and Thriving Fest is set to take place on Saturday, September 30th, 2023. We reserve the right to reschedule, relocate or cancel any individual events if necessary for any reason, including, but not limited to: weather, failure to receive commitments from the necessary number of sponsors, failure to reach an agreement with applicable authorities on any issue related to the event; or other acts beyond the control of EqualityToledo, e.g. fire, strike, war, change of law or regulation, public catastrophe. If the event is canceled in whole, EqualityToledo will issue refunds based on monetary amounts paid directly to EqualityToledo. No further refunds or other amount will be due from EqualityToledo and in no case will the amount of refund exceed the amount of sponsorship fee paid.

TAX STATUS

EqualityToledo is a registered 501(c)(3) charitable organization.

LIABILITY

Neither EqualityToledo nor its representatives will be responsible for any injury, loss, harm or damage that may occur to the sponsor from any cause whatsoever. Under no circumstances will the Pride Prom be liable for lost profits or other special consequential damage. The foregoing will apply regardless of how any claim is brought or how damages are characterized, including whether brought in contract, tort or otherwise.

Sponsor, hereby submits the application for ancillary marketing and promotional services at EqualityToledo Trans and Thriving Fest September 30th, 2023 at Uptown Green.

The sponsor hereby acknowledges and agrees to the terms and conditions set forth herein. All marketing/sponsor opportunities are sold and assigned on a first-come, first-serve basis. The sponsor further agrees that, upon acceptance by the organizer, this application shall become a legally binding contract, enforceable in accordance with its terms, and cannot be canceled, refunded or returned at any time for any reason. Confirmation will be returned. Sponsor agrees to adhere to all rules and regulations in the relation to this agreement.

The authorized signer above hereby represents and warrants that he/she is duly authorized to execute this agreement on behalf of the sponsor named. The authorized signer above has read these terms and accepts the same.
